The University's printing contract with Konica Minolta is set to conclude in July 2024. In preparation for this transition, we've been carefully evaluating our printing needs to ensure that our next contract aligns with the University's requirements. Over the years, we've witnessed a significant reduction in print volume, from 24 million copies in 2016 to approximately five million in 2023. Given our current production capability of more than five million copies per month, maintaining such capacity is neither practical nor cost-effective.
Presently, the University operates a mixed fleet of 241 printing devices, including Multi-Functional Devices (MFDs) and Desktops. However, these devices are over 8 years old and have reached the end of their life cycle. Our objective is to streamline our printing infrastructure by deploying a reduced fleet of MFDs that are not only environmentally friendly but also efficient. The goal is to provide a comprehensive solution within a single device, offering both colour and mono printing, scanning capabilities, and accommodating both A3 and A4 paper sizes.
Conducting thorough building audits, in collaboration with business owners, has enabled us to determine the strategic placement of these devices. It's imperative that we optimize our printer distribution across campuses to ensure environmental sustainability and cost-effectiveness. To achieve this, the project board has established specific parameters:
- One device per building
- One device per floor in high student traffic areas
- Printers with an annual output of fewer than 10,000 prints will be considered for removal
- Accessibility is key, with no devices located behind locked doors
