Information that we collect and use about you
The University of Aberdeen collects and uses your personal data (this may include your name and identifying information, your photographic image or video) that you provide as part of being involved in an event, video shoot or communication activity captured in one or more of the following ways:
- Video Recordings
- Photographs
- Testimonials or contributory quotes
- Audio recordings
Why we process this information, and our lawful basis
Your personal information will be used by the University to promote our activities to prospective students, staff funders and partners, and to provide information and updates to existing stakeholders, funders, and partners. Your information may be used in our printed publications and digital channels, including websites and social media.
Depending on the reason for the promotional activity, there are several lawful bases upon which the University may rely on to process your personal information. These are:
- on the basis of your explicit consent (a separate consent form shall be made available to you prior to the event);
- on the basis of our legitimate business interest to record and promote our work;
- to fulfil a task in the public interest.
Disclosing your information
These images, footage or recordings may be made publicly available in any University media including print copies, the University website (www.abdn.ac.uk) and on our social media pages. They may also be made available to the national press, other news sources, or industry media (both print and web) for the purposes of promoting the work and activities of the University.
How long your information will be kept
These images, footage and recordings will be securely stored on the University’s systems and only relevant departments of the University will have access to your personal data.
Images, recordings or testimonials will be retained for as long as necessary, and some may be permanently retained as part of the University’s Archive.
The University undertakes to treat your personal data in accordance with the provisions of the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).
